Booking terms

Deposits, cancellations, damage, delivery

The same terms Robyn confirms with you. Nothing hides in a PDF.

Who you are dealing with

Xtreme Promotions Sound & Lighting (trading as Xtreme Events), company registration K2022572167, VAT registration 4600310520. No.2 Mondustria Park, 365 Dewar St, Derdepoort, Pretoria, 0082. Phone 072 403 1895, info@xpsl.co.za. Run by its owner, Jandré Janse van Rensburg. Registered in South Africa with the Companies and Intellectual Property Commission (CIPC). Package prices on this site are shown inclusive of VAT; travel is itemised separately by distance from our nearest depot, Derdepoort (Pretoria) or Epping Industrial Park (Cape Town): light transport at R8/km up to the Gold package, truck transport at R12/km from Diamond upward. Non-wedding events run on trucks at R 2 850 per day plus R12/km, driver included.

Locking a date

The website pencils your date; Robyn confirms it personally. A 20 % deposit, payable within 7 days of confirmation, secures the booking, the crew and the gear; the deposit is non-refundable and, if you cancel after confirmation, is applied as the reasonable cancellation charge contemplated by section 17 of the Consumer Protection Act. The balance must be paid and cleared 72 hours before the event; no services are rendered until payment is complete. Payment is by EFT to the bank account on your invoice, with the invoice number as the reference; this website takes no payments. DJ overtime past your package's cut-off time is R 1 725 per hour incl VAT (R 1 500 excl VAT). Live performances by any artist, and any special artist requirements, carry a cost implication.

Late payment

All late payments exceeding 10 working days will result in a penalty of 24% interest.

Your wedding questionnaire

For weddings, the completed questionnaire (songs, timeline, floor plan) must reach us at least 4 days before the event so your DJ can prepare properly. Robyn sends it to you once your date is secured.

Power and site requirements

The venue or client supplies sufficient power: 220 V 20 A within 30 m of each setup point; minimum 3 kVA at the ceremony and 12 kVA at the reception. Where house power is used, damage to our equipment caused by power surges, dips or abrupt cut-offs is for the client or venue's account. We always work on our own PA and lighting systems, never the venue's installed equipment.

Crew on the day

A full meal and two still waters per crew member at the reception (no alcohol; our crew never drinks on the job). Crew size follows your package: from a DJ, an assistant and a chapel technician up to Gold, to an eight-person crew on Inimitable; your package page states it. For venues more than 60 km out, the client arranges accommodation within 5 km of the venue for two people up to Gold, three on Diamond and five on Platinum and Inimitable.

Delivery and setup

Travel and setup are itemised on your quote. We arrive early and are set up well before your guests arrive; the event start time in your booking is when music begins.

Online enquiries

Before anything is confirmed you are shown a full summary to review and correct (Electronic Communications and Transactions Act s43). Pencilling a date online is free and creates no obligation; a booking exists only once Robyn has confirmed and your deposit is received. The seven-day cooling-off right in section 44 of that Act does not apply to leisure services booked for a specific date (section 42(2)(j)); once Robyn has confirmed and the deposit is received, the cancellation terms under Locking a date apply. Complaints: email info@xpsl.co.za or phone 072 403 1895. We do not subscribe to an alternative dispute resolution code (section 43(1)(o)). You can keep a record of your booking: the summary shown before you send is yours to save or print, and Robyn emails your quote and invoice, which we keep for five years; ask info@xpsl.co.za for a copy at any time.
